2024-25 Facility Rentals

To book a facility, complete the Rental Request Form. If you require a copy of your permit or if you have any questions regarding your scheduled booking, contact facility.rentals@eips.ca. 

All outside user groups and individuals using EIPS facilities must provide their own insurance. The Division requires a copy of this insurance on file to process any booking request. Outside users are welcome to get insurance from any broker they choose. Contact facility.rentals@eips.ca if you’d like more information about the third-party insurance available through the insurance company used by the Division.

Division facilities are available to the public for after-hours rentals, Monday to Friday 4 p.m. to 10 p.m. and Saturday 8 a.m. to 10 p.m.

To book a facility, complete the Rental Request Form.

Be sure to review the General Conditions for the Use of School Facilities.

Booking requests for the upcoming school year are accepted starting January 1 and are processed in the order in which they are received. Community groups and teams should submit their permit requests as soon as they know their timeline.

Community requests are considered after school use and county programming has been reserved; this is often in July and August.

Tournament Set-up Fee**

ADDITIONAL FEES (where applicable)

  • No rental deposit required. A damage deposit of $500 is required for all Large Group Social/Commercial rentals. Damage deposit will be applied to rental permit upon completion of event. Payment of damage deposit must be made within five business days of signing the rental permit.
  • A minimum of 14-days notice is required to cancel a rental contract or a cancellation fee will apply—20 per cent of the rental for Youth or Adult Rec bookings or $500 for Large Group Social/Commercial bookings. Fees are non-refundable if a group fails to provide adequate notice prior to revisions or cancellation of contract.


*Large group refers to any event or activity with more than 100 attendees
. Additional custodial fees may apply.

**Tournament set-up fee will be applied to external rental groups per gym per event for set up and take down of equipment necessary to facilitate the tournament. 

As outlined in Administrative Procedure 546: Public Use of Division Facilities, once school needs have been met, the community should have reasonable access to school facilities for education, recreation, and wellness activities.
